Repository quality assurance
The Uganda Christian University Digital Institutional Repository uses quality assurance checks to ensure repository content is accurate, sufficiently documented, lawful, ethical, discoverable, and suitable for long-term access and reuse.
Quality assurance approach
As a general principle, only content that meets repository quality expectations is published. Where limitations are identified, repository staff may document them in the metadata record, request corrections from the depositor, restrict access, or delay publication until issues are resolved.
Repository users may report quality concerns by contacting the repository team with details of the issue and the relevant title, URL, handle, DOI, or record identifier.
Post-submission and curation process
After submission, repository staff review the item according to content type. Datasets, software, publications, theses, reports, images, and institutional records may require different metadata, documentation, rights, and file-format checks.
- submission acknowledgement and initial review;
- verification of depositor affiliation and item eligibility;
- copyright, licence, permissions, and embargo checks;
- assessment of sensitive, confidential, personal, or restricted content;
- file integrity checks and confirmation that files match their descriptions;
- metadata completeness and contextual documentation review;
- linking to associated publications, datasets, theses, software, or identifiers where appropriate.
Pre-publication checks
All finalised submissions undergo structured review before approval. Checks may include eligibility, rights, legal and ethical compliance, file accessibility, format suitability, metadata quality, supporting documentation, funder acknowledgement, and related-output linking.
Where issues are identified, depositors may be contacted and asked to provide additional information, revised files, corrected metadata, evidence of permissions, or clarification of access conditions.
Publication, embargo, and access management
Once approved, the item is published in the repository and depositors may receive confirmation. Metadata remains publicly discoverable wherever possible. If an embargo applies, files remain closed until the embargo conditions allow release.
Repository records may be enhanced after publication with additional metadata, links, identifiers, citations, or relationships to related outputs.
Post-publication responsibilities
Depositors remain responsible for the accuracy of their submissions and for responding to reasonable repository queries. Repository staff may update records, add links, correct metadata, create new versions where files change, or apply takedown procedures where legal, ethical, or quality issues are raised.
